Accutrac® provides the tools to apply your rules.  Having a systematic retention program is a critical part of Compliance initiatives (not to mention mitigating risk and lowering costs associated with records stored beyond their useful life).  Accutrac’s solution includes retention management, archiving and disposition functionality to help implement an organization’s unique retention policies and procedures into Accutrac® to consistently manage records throughout their lifecycle including destruction.  The added complexity of electronic records has created a need for consistently applying rules to both traditional paper records and e-records & email.

Organizing Retention Policies

Accutrac XE™ provides a user-friendly retention schema hierarchy for records managers to effectively organize, edit, describe, and manage retention policies using your nomenclature.  Accutrac’s Retention Manager can store basic or multi-step, time and/or event based retention rules to meet our client’s unique retention workflow requirements.

Apply Retention Rules to Records

Accutrac XE™ can automate records retention as policies can be tagged to records classifications.  This way retention rules are automatically assigned.  And if future retention rules change, the process is facilitated by batch records retention rules processing. Records managers can also manually apply retention rules to records if desired to meet company guidelines as well as associating regulations and legal citations to retention policies.

Legal Holds and Vital Records

As a key feature required by Compliance Officers of major companies, Accutrac® support legal holds to prevent access and destruction of certain records that relate to litigation or audits. Multiple holds can be organized, associated with legal citations, applied to item types, entities, and unique items, while providing audit trails. Vital Records may also be tracked and managed within Accutrac®.

Retention Authorization

As an enterprise class application, Accutrac XE™ has robust security and control features to limit retention access to key records management staff in addition to controlling specific features within Accutrac’s Retention Manager.  Accutrac XE™ can support retention work flow and audit processes by tracking item destruction authorizations.

Search and Destroy

Accutrac XE™ provides a powerful platform to complete the lifecycle of records management.  Accutrac’s Disposition Manager facilitates the destruction process in accordance with company guidelines. Functionality includes: Identify Items Eligible for Destruction; Create destruction Reports; Capture authorizations, descriptions, references to legal citations; run Disposition Projects; Audit Trail reporting.

Electronic Records and Email Retention

Accutrac XE™ fully supports retention for all records including traditional paper records as well as e-records and email.  To support best practices for records management, Accutrac® facilitates Retention management by applying consistent practices including retention for all item types.
